EURO Polis Privacy Policy

1. General provisions

This Privacy Policy describes how the EURO Polis website processes personal data when providing information about insurance products, receiving applications, offering консультации, and facilitating the conclusion of insurance contracts.

Personal data is processed in accordance with Regulation (EU) 2016/679 (GDPR), the laws of the Republic of Latvia on personal data protection, and other applicable EU legislation.

3. Categories of data processed

EURO Polis may process the following categories of data:

  • first name, last name, company name;
  • personal identification number, registration number, or other identifier where required for insurance purposes;
  • contact details: phone, email, address;
  • vehicle data: registration number, VIN, make, model, documents;
  • insurance contract data: product, period, territorial scope, premium, policy number;
  • limited payment data: payment status, amount, date, purpose;
  • correspondence, requests, applications, and documents provided by the user;
  • technical data: IP address, cookies, browser, device, date and time of website access.

EURO Polis does not store full bank card details. Payment data is entered directly with the bank or payment service provider.

4. Purposes of processing

Personal data is processed for the following purposes:

  • processing user applications;
  • selecting appropriate insurance products;
  • transferring data to the insurer;
  • concluding and administering insurance contracts;
  • issuing and delivering policies;
  • processing payments;
  • responding to inquiries and complaints;
  • compliance with legal obligations;
  • ensuring website security;
  • internal record-keeping;
  • protection of rights and legitimate interests;
  • analytics and marketing — only where a valid legal basis exists.

5. Legal basis for processing

Processing is carried out on the following legal bases:

  • performance of a contract and pre-contractual measures;
  • compliance with legal obligations;
  • legitimate interests (e.g., protection of rights, fraud prevention, website security);
  • user consent (e.g., for marketing communications or non-essential cookies).

Users may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing carried out prior to withdrawal.

6. Third-party data

If a user provides personal data of third parties (e.g., drivers, company representatives, vehicle owners, beneficiaries), the user confirms they have a lawful basis for such transfer.

EURO Polis is not responsible for unlawful disclosure of third-party data by the user.

7. Data sharing with recipients

Personal data may be shared with:

  • the insurer;
  • payment providers and banks;
  • IT service providers, hosting providers, and technical contractors;
  • analytics and communication service providers;
  • public authorities where required by law;
  • legal advisors, auditors, and other professional consultants where necessary to protect rights.

Data is shared only to the extent necessary for the relevant purpose.

8. Transfers outside the EU/EEA

If personal data is transferred outside the European Union or the European Economic Area, such transfers are carried out only where an appropriate legal safeguard exists, including adequacy decisions, Standard Contractual Clauses (SCC), or other mechanisms предусмотренные GDPR.

9. Retention periods

Personal data is retained no longer than necessary for the purposes of processing.

Indicative retention periods:

  • applications and correspondence — up to 3 years after completion of interaction;
  • insurance-related documents — for the duration of the contract and the period necessary to protect legal rights;
  • payment and accounting records — in accordance with legal requirements;
  • technical logs — typically up to 12 months unless a longer period is required for security or investigations;
  • marketing data — until consent is withdrawn.

After the retention period, data is deleted, anonymized, or archived where required by law.

10. Cookies

The EURO Polis website uses cookies and similar technologies.

Strictly necessary cookies are used to operate the website. Analytics and marketing cookies are used only with user consent.

11. User rights

  • request correction of inaccurate data;

Marketing communications are sent only where a valid legal basis exists. Users may opt out at any time.

15. Changes to the policy

EURO Polis may update this Policy in response to changes in legislation, website functionality, services used, or data processing practices.
